AI Outliner — Privacy Policy
Effective date: July 18, 2026 — Publisher: MindX
AI Outliner is a desktop outlining application. It is designed so that your documents stay on your device: there is no account, no sign-up, and no cloud
storage operated by us. This policy explains what data leaves your device, when, and why.
Your documents
Your outlines are stored as files on your own computer. We never receive, store, or have access to them. The app does not sync your documents to any
server.
AI features (only when you use them)
When you invoke the AI assistant, the content you submit (the relevant outline text, your prompt, and any attachments you add) is sent to the AI provider you have selected in Settings:
- Local models (Ollama or LM Studio): requests go to the local server on your own machine. Your content never leaves your device.
- Your own API key (Anthropic, OpenRouter, or another OpenAI-compatible provider): requests are sent directly from the app to that provider under
your key and are governed by that provider's privacy policy. We are not in that data path.
- Managed cloud AI (trial credits or a subscription): requests are routed through OpenRouter under our managed key. We use this path only to provide
the service and meter usage; we do not have access to any of your content and do use your content for any other purpose. If you enable the optional web-search feature, your request is processed with search-augmented models, which means the model provider performs web queries related to your prompt. AI requests are processed transiently to generate the response and are not used by us to build profiles or train models.
License purchase and activation
The app is free to try. If you purchase a license, checkout and payment are handled entirely by our merchant of record, Lemon Squeezy (Lemon Squeezy
LLC), who processes your payment details and email address under their own privacy policy. To activate the app, your license key and a device identifier
are validated against the Lemon Squeezy License API; this is the only information transmitted, and it is used solely to verify and count activations. Contact us if you need to free an activation (mindx@philosophons.com).
Crash reporting (opt-in)
The app can send anonymous crash reports to Sentry to help us fix bugs. This is off unless you turn it on when asked for consent (or later in Settings).
Reports are stripped before sending: no user identity, no document content, no file paths, no browsing data. You can disable crash reporting at any time in
Settings.
Updates
The Microsoft Store edition of the app is updated by the Microsoft Store itself; the app performs no update checks of its own. (Editions downloaded
from our website check our release server for updates; this transmits only standard, non-identifying HTTP request data.)
What we do not do
- No advertising and no ad trackers.
- No analytics or behavioral telemetry.
- No sale, rental, or sharing of personal data with third parties beyond the service providers named above.
- No collection of data from children; the app is a general-audience productivity tool and does not target children.
Data retention and your rights
We do not operate user accounts or databases of personal data. The personal data that exists in connection with the app is held by the processors named
above (Lemon Squeezy for purchases, Sentry for opt-in crash reports) and is subject to their retention policies. For any privacy request — including
access, correction, or deletion of purchase-related data — contact us and we will resolve it with the relevant processor.
